Information we collect

When you contact us

We may collect your name, email address, telephone number and the information you include in your enquiry.

When you check availability or book

Our booking page uses Freetobook and its Bloom booking pages. Depending on how far you proceed, this may include stay dates, your name and address, contact details, the names of guests, booking preferences, payment information and your IP address. Payment-card information is processed by secure payment providers used by Freetobook; we do not receive or store your full card number on this website.

When you visit the website

Our website and hosting provider may process technical information such as your IP address, browser and device type, requested pages, and the date and time of access. This information is used to deliver and secure the website and diagnose technical problems.

How and why we use personal information

  • To answer questions and take steps requested before a booking, and to manage and fulfil your stay. The lawful basis is taking steps before entering into a contract and performing our contract with you.
  • To keep booking, payment and accounting records and comply with legal or regulatory duties. The lawful basis is legal obligation.
  • To operate, protect and improve the website, prevent misuse and maintain business records. The lawful basis is our legitimate interests in running a safe and effective accommodation business.
  • Where we introduce optional marketing or non-essential cookies, we will rely on consent and provide an appropriate choice before using them.

We do not sell personal information and we do not use it for unrelated third-party marketing.

Booking services and other recipients

We share information only where needed with service providers that help us run the website and provide your stay. These may include:

  • Freetobook and Bloom, which provide availability, booking, guest communication and payment-related services. Freetobook and the accommodation provider operate as joint data controllers for booking information. Read the Freetobook guest privacy policy.
  • GoDaddy, which hosts and secures this WordPress website.
  • Our email, payment, accounting and professional service providers where necessary to respond to you, administer a booking or meet legal duties.
  • Public authorities, regulators, insurers or professional advisers where disclosure is required or reasonably necessary.

Links to Google Maps and other external websites take you to services we do not control. Their own privacy notices apply once you leave our website.

International processing

Some service providers may process information outside the United Kingdom. Where this happens, we expect the relevant provider to use a lawful transfer mechanism, such as an adequacy regulation or approved contractual safeguards.

Cookies and similar technologies

The current website does not use advertising cookies or optional analytics cookies. WordPress, our hosting provider and the booking service may use cookies or similar technologies that are necessary for security, administration and requested booking functionality. If optional analytics or marketing tools are added later, we will update this notice and ask for consent where required.

How long we keep information

We keep personal information only for as long as it is needed for the purpose for which it was collected. Enquiry information is deleted when it is no longer needed, unless it becomes part of a booking record. Booking and financial records are kept for the period required by tax, accounting and legal obligations. Technical logs are retained according to the security and retention arrangements of our hosting and booking providers.

Your rights

Depending on the circumstances, you may have the right to ask for access to your personal information, correction of inaccurate information, deletion, restriction, data portability, or to object to processing. Where processing relies on consent, you may withdraw that consent at any time. These rights are not absolute and may be limited by legal obligations.

To exercise a right or ask a privacy question, email info@holos-wellnesscentre.com. We may need to confirm your identity before acting on a request.

Complaints

Please contact us first so we can try to resolve your concern. You also have the right to complain to the UK Information Commissioner’s Office. Visit ico.org.uk/make-a-complaint for current contact details and guidance.

We will review this notice when the website, booking process or our use of personal information changes. The latest version will always be published on this page.
